TERMS AND CONDITIONS

1. General

1.1 These Terms and Conditions apply to all classes, workshops, rehearsals, performances, competitions, virtual learning, and any other activities organised by Aspire Dance.

1.2 By enrolling a participant in any Aspire Dance activity, the parent/guardian (or participant if over 18) agrees to abide by these Terms and Conditions.

1.3 Aspire Dance may update or amend these Terms and Conditions at any time. Updates will be communicated via email and/or ClassForKids.

1.4 All parents/guardians and participants must adhere to Aspire Dance’s Codes of Conduct, Safeguarding Policy, Health and Safety Policy, and GDPR/Data Protection Policy, which form part of these Terms and Conditions.

 

2. Registration and Membership

2.1 All participants must complete a full registration form before attending any class, including medical, emergency contact and authorised collection information.

2.2 Parents/guardians are responsible for ensuring all details remain accurate and up to date.

2.3 Aspire Dance reserves the right to refuse admission where registration is incomplete or payment obligations are not fulfilled.

 

3. Booking, Payments and Trials

3.1 All class bookings and subscriptions are managed through the ClassForKids system.

3.2 Monthly subscriptions are paid via recurring card payment and are collected on the 1st of each month. If payment fails, the system will automatically attempt payment on the 4th and 9th. Attendance will be suspended until payment is received.

3.3 The minimum booking commitment is one full calendar month.

3.4 A paid two-week trial is available for new participants and must be booked through ClassForKids.

3.5 A participant must have an active subscription before attending any class.

3.6 Aspire Dance may invoice additional “covering payments” for competitions, events, costumes, exam fees, or other extras.

 

4. Notice Period & Cancellation

4.1 A minimum of 30 days’ written notice is required to withdraw from classes.

4.2 Notice must be given before the 7th of the month to avoid the next month’s subscription fee being charged.

4.3 Notice is not considered served until Aspire Dance acknowledges receipt in writing.

4.4 Aspire Dance will process cancellations within the ClassForKids system once notice is confirmed.

 

5. Attendance, Conduct & Studio Rules

5.1 Participants must attend classes punctually, wearing appropriate dancewear, with hair tied back and no jewellery.

5.2 All students and families are expected to behave respectfully to foster a positive, inclusive environment.

5.3 Aspire Dance reserves the right to remove any participant whose behaviour is unsafe, disruptive, or inappropriate.

5.4 Mobile phones must be switched off or set to silent during class.

5.5 No food or chewing gum is permitted in the studio. Only water bottles are allowed.

6. Supervision & Safeguarding

6.1 Children are under the supervision of Aspire Dance staff only during their scheduled class time.

6.2 Pre-school participants must be accompanied by a parent/guardian throughout the class.

6.3 Aspire Dance staff do not supervise toilet use. Parents/guardians must accompany their child when needed.

6.4 Children will only be released to those listed on the registration form unless prior written authorisation is provided.

6.5 Professional and appropriate physical contact may occur for instruction, safety, or posture correction.

6.6 Consent regarding photography must be indicated at registration. Parents must update Aspire Dance if this changes.

6.7 Safeguarding concerns must be reported immediately to DSL Annabel Hey (T: 07736 717265, E: missannabel@icloud.com).

 

7. Health & Safety

7.1 Parents/guardians must disclose all relevant medical conditions, injuries, allergies, or additional needs before attending classes and update Aspire Dance as required.

7.2 Participants should bring a labelled water bottle and are encouraged to use the toilet before class.

7.3 Aspire Dance will take reasonable measures to provide a safe environment but cannot accept responsibility for loss or damage to personal belongings.

7.4 Participation is at the participant’s own risk.

 

8. Photography, Media & Data Protection

8.1 Aspire Dance may take photographs or video recordings for promotional or educational purposes, subject to consent.

8.2 Parents/guardians who do not consent must notify Aspire Dance in writing.

8.3 Filming/photography by parents is not permitted unless specifically allowed.

8.4 Personal data is handled in accordance with UK GDPR.

 

9. Cancellations, Refunds & Make-Up Lessons

9.1 No refunds are issued for missed classes.

9.2 If Aspire Dance cancels a class, an alternative or credit will be offered where possible.

9.3 Classes may be cancelled at short notice due to weather, illness, or other circumstances.

9.4 Make-up classes may be offered but are not guaranteed.

10. Competitions, Performances & Events

10.1 Participation is at Aspire Dance’s discretion.

10.2 Additional fees may apply.

10.3 Aspire Dance will provide notice of event dates and requirements.

 

11. Liability

11.1 Aspire Dance holds public liability insurance.

11.2 Aspire Dance accepts no liability for injuries or loss occurring outside scheduled class times or in shared areas.

11.3 Parents/guardians are responsible for safe drop-off and prompt collection.

 

12. Virtual Learning

12.1 Virtual classes may be offered where appropriate.

12.2 Participation requires completion of Virtual Learning Terms.

12.3 Parents are responsible for providing a safe environment.

 

13. Complaints & Legal Framework

13.1 Concerns should be raised with Miss Annabel.

13.2 A formal policy is available on request.

13.3 These Terms are governed by the laws of England and Wales
